Senior Executive Assistant to the General Manager


Mission :

Deliver administrative efficiency support to the General Manager’s needs and demands, organize his agenda and act as a reference towards Group and Management.

Support to the General Manager through a variety of task related to organization and communication.

Provide administrative correspondence in a sophisticated and professional manner.

Solve any problem/issues that General Manager may encounter.

Conduct any research the General Manager may need.

Perform Private Banking Assistant tasks to drive efficiently client instructions.


Primary role – Executive Assistant :

  • Manage the General Manager’s schedule & facilitate interaction with department heads:
  • Follow-up and update the General Manager agenda on a daily basis
  • Schedule appointments, both internal & external; prioritize meetings
  • Answer and re-direct phone calls, manage General Manager’s emails
  • Sort and filter all incoming mails and memos by degree of importance and initiate actions as needed
  • Produce and distribute correspondence memos, letters, forms, etc.
  • Prepare agenda, summarize topics of discussion and/or document the minutes for internal meetings, when necessary
  • Organize business trips for the General Manager
  • Perform ad hoc tasks and requests

Secondary role – Personal Assistant :

  • Handle administrative tasks for the General Manager:
  • Follow-up general and administrative correspondence and projects (private matters)
  • Coordinate with third party (insurances, banks, other service suppliers)
  • Prepare and coordinate required documents for tax and invoice purposes
  • Organize filing and archiving
  • Perform ad hoc tasks and requests

Third role – Private Banking Assistant :

  • Handle administrative tasks related to clients’ accounts:
  • Prepare, on request, various correspondence addressed to clients
  • Prepare & follow-up clients visits administration in coordination with Private Banking Department (documents, visit reports)
  • Perform ad hoc tasks and requests

Profil :

  • Bachelor degree or similar education
  • Minimum 5 - 7 years of relevant experience in a similar position possibly in a Private Bank or Wealth Management firm
  • Banking knowledge (understanding of product structure and internal organization)
  • Sound understanding of the Swiss administrative system (insurances, banks, taxes, etc.)
  • Experience in direct clients’ interactions.
  • Fluent in English and French
  • Top of the line organization skills with an ability to prioritize and multitask
  • Great interpersonal skills
  • Effective and professional communication abilities, including being able to communicate with clients, guests and/or all level of employees.
  • Professional writing capabilities, including emails, memos, letters and other reports and correspondence in both languages.
  • Ability to identify, complete and follow-up a GM private administration portfolio.
  • Strong understanding of Private Banking tasks, Swiss administrative system.
